This policy explains what personal information ASR Cooling collects when you use our website, why we collect it, and the rights you have over that information under the UK GDPR and the Data Protection Act 2018.

What we collect

We only collect information you give us directly. When you use our enquiry form we ask for:

• Your name
• Your email address
• Your phone number
• The service you're interested in
• The message you send us

If you call or email us, we'll keep a record of that conversation and any details you share so we can respond and follow up on the job.

Why we collect it & the legal basis

We use your information to reply to your enquiry, prepare quotes, arrange visits, and deliver the services you've asked for. The legal basis is:

• Legitimate interest — responding to an enquiry you've sent us.
• Contract — once you become a customer, to plan and deliver the work.
• Legal obligation — where we're required to keep records (e.g. F-Gas records, invoices, safety documentation).

Who we share it with

We don't sell your information. It's only shared where necessary to deliver our service:

• FormSubmit — the transactional email relay that delivers our contact form to our inbox. They act as a processor and don't use the data for anything else.
• Our accountant and HMRC — where required for tax and bookkeeping.
• Our engineers — the ASR team who need your address and job details to attend site.

How long we keep it

Enquiries that don't turn into a job are deleted within 12 months. If you become a customer, we keep records for as long as we're required to for tax, warranty and F-Gas compliance (typically 6 years).

Cookies & tracking

This website doesn't use analytics or advertising cookies. We don't track you across other sites. The site uses a small amount of your browser's session storage to remember the message you type before you submit the enquiry form — this is cleared when you close the tab and doesn't reach us.

Your rights

Under UK GDPR you have the right to:

• Ask what personal data we hold about you
• Ask us to correct anything that's wrong
• Ask us to delete your data (subject to any legal requirement to keep it)
• Object to us processing your data
• Ask us to send your data to another provider

Complaints

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or by calling 0303 123 1113. We'd appreciate the chance to sort things out with you first, though.
